Sharing & Collaboration Policy

Coach-athlete sharing, roles, and responsibilities.

NoteFit lets you share athletes, mesocycles, microcycles, workouts, and templates with another user. This Policy explains how sharing works and the responsibilities each party takes on.

1. What you can share

  • Athletes — full profile, measurements, history.
  • Mesocycles — and all microcycles and workouts inside.
  • Microcycles — and their workouts.
  • Workouts — individually.
  • Templates — re-usable plans you have created.

2. Roles

  • Owner — the user who created the resource. All rights, including delete. Cannot be transferred.
  • Editor — view and edit. Cannot delete or change sharing.
  • Viewer — read-only. Cannot edit, delete, or re-share.

Permissions inherit down the tree: an Editor on a mesocycle is an Editor on its microcycles and workouts.

Changes are attributed. Every training cycle, training week and workout records which account created it and which account changed it last, with the time. Everyone who can see the resource can see that attribution, so collaborating on a plan means the other people on it can tell which parts are yours. This applies from 19 September 2026; anything written before that carries no author. A share link never carries it — the copy behind a link holds the plan and its comments only.

3. Invitations

Invitation emails contain:

  • the inviter's display name;
  • the resource being shared;
  • the role being granted;
  • a single-use acceptance link that expires after 7 days;
  • a clear way to decline.

If the invited person does not yet have a NoteFit account, the acceptance link walks them through sign-up and consent before the shared resource appears in their account.

4. Your responsibilities as the inviter

You may only share information about another person if you have a lawful basis to do so. By inviting another user to view or edit athlete data:

  • you confirm that you have provided required notices to the athlete and obtained any required consent — including under GDPR Art. 6 and Art. 9 for health-related data;
  • you take responsibility for the legal relationship between you, the athlete, and the other professional you are sharing with;
  • you understand that the recipient will have the access you have granted them until you revoke it or delete the resource.

Connecting an AI assistant (Account → Connected apps) is a disclosure of the same kind: it sends your athletes’ data, including body measurements, to that provider. The confirmations above apply to it exactly as they apply to inviting another person, and the athlete is not party to your decision to connect one.

NoteFit acts as a processor on your behalf with respect to athlete data — see Terms §5.

5. Your responsibilities as a recipient

  • You may only use the data for the purpose for which the inviter shared it.
  • You may not download, copy, or re-share outside the Service except where the resource grants that ability.
  • You remain bound by the Terms and all other policies.

6. Revoking access

The owner of a resource can revoke a recipient's access at any time. Revocation takes effect immediately for new requests; cached views in the recipient's session may persist up to 60 seconds.

7. Deletion and sharing

If you delete a resource, recipients lose access at their next request. If you delete your entire account, every resource you own is deleted and all recipients lose access.

8. Disputes between users

NoteFit does not mediate disputes between coaches, athletes, and other users about access, content ownership, or rights. We may suspend access to a resource if we receive a credible report that it violates these Terms.
